This Privacy Policy describes the types of personal data that Suomen Tulkkauspalvelu Oy may collect about you when you subscribe to its services, contact Suomen Tulkkauspalvelu Oy through its website or use its portal (collectively, the "Service") or act as a subcontractor on behalf of Suomen Tulkkauspalvelu Oy, and for what purposes, and on what basis, Suomen Tulkkauspalvelu Oy may use such data. By using the Service, you consent to the processing of your data in accordance with this Privacy Policy.

Suomen Tulkkauspalvelu Oy may amend this Privacy Policy from time to time, for example, in the event of changes in legislation, by publishing a new version on its website. Finnish Interpreting Services Ltd will use reasonable efforts to provide you with reasonable advance notice of any changes and their effects. You are advised to review this Privacy Policy whenever you become aware of any changes to it.

THE INFORMATION CONTAINED IN THE REGISTER
The following information is collected in the customer and marketing register:

  • The first and last name, address, e-mail address, telephone number, publicly available classification information, and information about marketing permissions and prohibitions of a contact person or other natural person (hereinafter "Customer") who is a business customer of Finnish Interpreting Services or a potential business customer;
  • Classification information provided by the customer himself;
  • The customer's IP address or other identifier;
  • Customer feedback information provided by the customer:
  • Customer order, billing and delivery details;
  • Information collected about the customer through cookies;
  • Information collected about the customer from social media channels; and
    other information collected about the Customer with his/her consent.

The subcontractor register collects the following information:

  • Name and surname, address, e-mail address, telephone number of interpreters, translators and language trainers (hereinafter referred to as the "Supplier");
  • other identifying information (e.g. business identification number or, for those working with a tax card, personal identification number);
  • Classification information provided by the subcontractor itself (e.g. language pairs or CVs);
  • translation, language training and interpretation services; and
  • Feedback on the subcontractor's performance.

DATA SOURCES FOR THE REGISTER
The Finnish Interpreter Service stores in the customer and marketing register the personal data of the Customer, which the Customer himself provides to the Finnish Interpreter Service by filling in the contact form on the website of the Finnish Interpreter Service. www.suomentulkkauspalvelu.fi or by email. In addition, the Customer's personal data is collected from the customer agreement between the company represented by the Customer and the Finnish Interpreting Service and from publicly available sources.

Subcontractor information is collected primarily from the Subcontractor itself.

THE PURPOSE OF THE REGISTER
The purpose of processing personal data is the management and development of customer, subcontractor or personal relationships, the production and development of the Service, information and communication about the Service and products, statistical monitoring and billing. The processing of personal data is based on a contractual relationship and/or consent.

The processing of the subcontractor's personal identification number is based on the fulfilment of the obligations and benefits of the Finnish Interpreting Service related to the assignment relationship.

The processing of personal data therefore allows us to serve you better and to develop our products and services to meet your needs. On the basis of the information you provide on the Online Service, we can give you access to different parts and contents of the Online Service.

The purpose of using the personal data of potential customers of the Finnish Interpreting Service is to carry out sales and marketing activities of the Finnish Interpreting Service, such as sending marketing messages by e-mail. The processing of personal data of our potential customers has no effect other than the targeting of marketing messages. In such cases, the processing of personal data is based on the legitimate interest of the Finnish Interpreting Service.

The Finnish Interpreting Service may send you targeted marketing, customer and partner messages, which you agree to receive on our online service, or by separate agreement. You may also opt-out of receiving these messages.

DISCLOSURE OF INFORMATION
The Finnish Interpreting Service processes your data only to the extent required for the provision of the Service. In providing the Service, the Finnish Interpreting Service may, to the extent permitted by applicable law, disclose your data to its cooperation partners (for example, its accounting firm and system providers), who are obliged to process the data only for the purposes of performing activities on behalf of the Finnish Interpreting Service. The Finnish Interpreting Service will always ensure that its partners do not process the personal data transferred for any other purposes. In addition,

The Finnish Interpreting Service may disclose the Client's contact information to the Subcontractor and vice versa, if the provision of the Service requires it.

The data in the register will not be transferred outside the EU/EEA.

PRINCIPLES FOR THE RETENTION OF PERSONAL DATA
The Finnish Interpreting Service will store your data in the register in accordance with the following principles:

The data of Clients and Subcontractors are stored as long as the client or subcontractor relationship is in force, or the Client or Subcontractor is employed by a company that is a client or subcontractor of the Finnish Interpreting Service. After the end of the client or assignment relationship, your necessary data will be stored for a maximum period of 10 years.

The data of potential customers of the Finnish Interpreting Service will be stored for direct marketing purposes as long as the person performs the tasks related to the product or service being marketed, provided that the person has not prohibited direct marketing. In this case, however, for direct marketing, the information that the person has opted out of direct marketing may be retained. The Finnish Interpreter Service may retain the data of a person for a longer period if applicable law or the contractual obligations of the Finnish Interpreter Service towards third parties require a longer retention period.

PROTECTION OF THE REGISTRY
The register and sub-registers are protected against unauthorised access. Access to them is protected by personal usernames and passwords. Users of the register are bound by the obligation of confidentiality and secrecy. Access to the registers is restricted to those employees and subcontractors of the Finnish Interpreting Service whose duties require them to process the data contained in the registers.

Access to the portal is granted to natural persons specifically authorised by the Finnish Interpreting Service. Users of the Portal may only access information through the Portal in accordance with the above section "DATA TRANSFER".

EVIDENCE
Cookies are small text files that are automatically stored by your internet browser on your computer / terminal device when you visit different websites. The browser sends information about your visit back to the website when you visit it again. All modern websites use cookies to provide you with a more personalised browsing experience. The Finnish Interpreter Service's online service also uses cookies to ensure that the Finnish Interpreter Service is able to provide you with the most user-friendly and high-quality service possible.

Each cookie is set separately for each of your terminal devices and can only be read by the server on which the cookie is set. Because a cookie is browser-bound and is not inherently sharable across browsers or devices (unless a browser, add-on or other application specifically allows this), your choices for managing cookies are inherently only applicable to that individual browser. A cookie cannot run software, nor can it be used to deliver viruses or other malicious code, or damage your terminal equipment or files. Individual users cannot be identified solely through the use of cookies or similar technologies.

The Finnish Interpreting Service website uses Tawk.to and Google Analytics software ("Software") to collect anonymous statistics about users of the website in order to improve the quality of the Service. The Software records information such as the number of visitors to the site, the duration of the visit and the most popular links.

If you do not want the Service to receive information through cookies, you can disable cookies (most browsers allow you to disable the cookie function). Please note, however, that if you do so, the Finnish Interpreting Service's website and/or the Service may not function properly.

SOCIAL MEDIA PLUG-INS
The Finnish Interpreting Service's website may contain links and connections to third party websites and so-called social media plug-ins (e.g. Facebook community plug-ins). The use of social media plug-ins may send identifiable information to these social media service providers. By opening a plug-in, you may allow cookies from third-party websites to be stored on your computer, allowing their administrators to track your use of the page if you are logged in to that provider's social media. These third-party services or third-party applications on the Finnish Interpreter Service's websites and in the Service are subject to the third party's privacy, use and other terms and conditions. The Finnish Interpreter Service has no control over such third party websites, and the Finnish Interpreter Service is not responsible for any material posted on or use of such third party websites.

RIGHTS OF THE DATA SUBJECT
In accordance with applicable data protection legislation, you have the right at any time to:

  • be informed about the processing of your data;
  • get access to and check your own data;
  • request that inaccurate or incorrect information be corrected, supplemented or deleted;
  • withdraw your consent and object to the processing of your data to the extent that the processing is based on your consent;
  • object to the processing of your data on grounds relating to your particular situation, insofar as the processing is based on the legitimate interests of the Finnish Interpreter Service;
  • receive your data in machine-readable form and transfer such data to another controller, provided that you have provided the data to the Finnish Interpreter Service and the Finnish Interpreter Service processes your data on the basis of a contract or consent and the processing is carried out automatically; and
  • request restriction of the processing of your data.

If you withdraw your consent, this will not affect the lawfulness of the processing of your data carried out before the withdrawal. Withdrawal of your consent will have no effect other than to prevent the Finnish Interpreting Service from sending you direct mail, distance selling, direct marketing, market and opinion poll surveys, and from processing your data for the purposes of personal and family genealogy research.

You should send your request for inspection, rectification and erasure in writing to the contact person of the Finnish Interpreting Service mentioned in section 3 of this Privacy Policy. The Finnish Interpreting Service may ask you to specify your request in writing and to verify your identity before processing your request. The Finnish Interpreting Service may also refuse to execute your request on the grounds provided for by the applicable law.

You also always have the right to lodge a complaint with the relevant supervisory authority or the supervisory authority of the EU Member State where you reside or work if you consider that the Finnish Interpreting Service has not processed your personal data in accordance with the applicable data protection legislation.

CHANGES TO THE PRIVACY POLICY
The Finnish Interpreting Service will update the changes to the Privacy Policy without delay on the Finnish Interpreting Service's website. This Privacy Policy was last updated on 1 June 2020.
